We are currently recruiting for Team Assistant who will provide proactive administrative, coordination & assistance cross functionaly, and project support across Medical Affairs, Training, and HR functions.
Effectively manage purchase orders and procurement workflows, support onboarding and training programs, assist with medical affairs activities, and collaborate cross-functionally to ensure smooth operations, data accuracy, and timely deliverables.
The ideal candidate will have Marketing or Sales background or experience in similar job.
Location: Flexible across European markets where we have presence.

What You'll Be Doing:
Medical Affairs Support
Assist with administrative tasks for Medical Affairs activities (meeting organization, speaker coordination, scientific materials preparation, and event logistics).
Maintain up-to-date files for pivotal studies, white papers, trials, and regulatory submissions as appropriate.
Coordinate with cross-functional teams to support dissemination of approved scientific communications and training content.
PO Management & Procurement
Create, track, and process purchase orders (POs) in Syspro; ensure accuracy of vendor details, pricing, and approvals.
Monitor PO lifecycle (approval, ordering, receiving, invoicing, and closing) and resolve issues with vendors and internal stakeholders.
Maintain vendor master data, execute basic vendor due diligence, and support vendor performance reviews.
Collaborate with Finance and Legal to ensure compliance with policies and contracting requirements.
HR Support
Assist with day-to-day HR administration (new hire onboarding requests to IT, offboarding, employee records maintenance, leave tracking, attendance, and HRIS data updates).
Coordinate scheduling for interviews, onboarding sessions, and employee training.
Support HR processes such as communications, and basic compliance documentation.
Prepare HR reports and dashboards as requested; maintain confidential information with discretion.
Training & Development Support
Coordinate logistics for training programs ( materials, enrollment, and attendance tracking).
Assist with content management for training materials, e-learning modules, and training calendars.
Liaise with trainers and participants; collect feedback and track course completion, certifications, and outcomes.
Support onboarding programs by scheduling orientation sessions and preparing welcome materials.
Administrative & Operational Support
Act as a central point of contact for HR, Training, & Medical Affairs, to coordinate activities and timelines.
Prepare meeting materials, agendas, minutes, and follow-up actions; track tasks and deadlines.
Support process improvements by capturing feedback and suggesting enhancements to workflows and documentation.
Manage calendars, travel arrangements, expense reports, and meeting coordination.
Draft and edit correspondence, presentations, and standard operating procedures as needed.
Maintain organized digital and physical filing systems; ensure data integrity and easy retrieval.
Support special projects and events (e.g., PM communication, town halls, compliance trainings).
Compliance, Data Privacy & Security
Ensure activities comply with company policies, data privacy regulations, and regulatory requirements.
Handle sensitive information with confidentiality and integrity.
Assist with audit preparations and documentation as required.
Your skills and experience
Experience: 3–5+ years of administrative or coordinative experience, preferably supporting Marketing, HR, training, or clinical/medical affairs functions in a regional environment.
Medical aesthetics, life sciences, or pharmaceutical industries experience is a plus.
Technical Skills:
Proficient in MS Office (Word, Excel, PowerPoint, Outlook); experience with HRIS, LMS, Syspro and procurement systems is a plus.
Familiarity with CRM/ERP systems and basic data analysis.
Strong writing, editing, and communication skills.
Organizational Skills: Highly organized with meticulous attention to detail; able to manage multiple priorities and meet deadlines.
Communication: Professional, discreet, and customer-service oriented; able to interact effectively with internal teams and external vendors.
Problem-Solving: Proactive, resourceful, and able to anticipate needs and propose solutions.
Language: Fluent in English (spoken and written); additional languages relevant to your region are a plus.
